Microsoft Office 365 FAQs (Frequently-Asked Questions)

General

Q. What is Microsoft Office 365?

A. Microsoft Office 365 (MS Office 365) is a hosted version of Microsoft's Server products, such as the Exchange Server, delivered and accessed over the Internet. It provides email and personal information management capabilities such as calendaring, contact lists and task lists. It can be accessed using Outlook and other email clients on the desktop, Outlook Web App in Web browsers and via certain mobile devices.

NOTE: Although Microsoft Office 365 is a hosted version of Microsoft's Server products, Cal Poly Pomona's Appropriate Use Policy still applies to all users.

Q. What is the advantage of using Microsoft Office 365?

A. With Microsoft Office 365, you will have 25 GB of storage and the ability to access, view and edit your online documents from home, the classroom, the library or virtually any PC or Mac that is connected to the Internet.

Q. What if I don’t want to use Microsoft Office 365?

A. You can forward your Cal Poly Pomona email address to any of your existing personal email addresses, such as Yahoo, Gmail, Hotmail, etc. To forward your Cal Poly Pomona email to a different email address, go to eHelp's Forwarding-Email instructions.

Q. What happens to my SkyDrive in MS Outlook Live?

A. If you have an MS Outlook Live SkyDrive, you can continue to use it with your existing MS Outlook Live Windows ID and MS Outlook Live password.

Your Account

Q. As a faculty/staff member, am I able to sign up for a Microsoft Office 365 account?

A. Sorry, this option is not available to faculty or staff. It is recommended that your email continue to be delivered to Exchange.

Q. Can I use the same password for MS Office 365 as I use for BroncoDirect?

A. No, it is not recommended that you use your BroncoPassword for services that are hosted off-campus for security reasons. Additionally, the password complexity rules for MS Office 365 passwords differ from the BroncoPassword complexity rules. It is probable that your current BroncoPassword does not meet the MS Office 365 password complexity rules.

Q. What happens to my Microsoft Office 365 Account once I leave Cal Poly Pomona?

A. Your Microsoft Office 365 email account will be disabled. However, when you graduate, you will be eligible for a lifelong Cal Poly Pomona email address, but it will not be your current Cal Poly Pomona email address. You will be able to request your lifelong Cal Poly Pomona email address through Alumni Affairs approximately six weeks after you graduate.

Q. As an applicant, am I able to sign up for a Microsoft Office 365 account?

A. Sorry, this option is not available to Applicants. For more information, see Email Service Exceptions.

Q. As an alumnus of Cal Poly Pomona, what happens to my Cal Poly Pomona Microsoft Office 365 account?

A. The Cal Poly Pomona Help Desk does not support Alumni email accounts. Life-long email accounts for alumni are handled through Alumni Affairs. Contact Alumni Affairs at 909.869.2963 or go to: http://www.csupomona.edu/alumni_friends/.

Accessing Your Account:

Q. I currently access my email via Microsoft Outlook using POP3 settings. Do I need to change my POP3 settings to access my account via MS Office 365?

A. No, your settings did not change. However, if you're curious, see the following link for instructions on accessing Microsoft Office 365 using POP or IMAP via various email clients, including server settings, go to: http://help.outlook.com/en-us/140/cc875899.aspx.

Q. Will the MS Office 365 application affect my smart phone settings?

A. Yes, your smart phone will need to be changed once you switch to MS Office 365. For instructions on accessing Microsoft Office 365 using POP or IMAP via an Internet-capable mobile phone, including server settings, go to:

Troubleshooting:

Q. What should I do if I'm having a difficult time logging into my Microsoft Office 365 email account?

A. Try one or more of the following troubleshooting steps:

  1. Make sure your Internet browser is accepting third-party cookies.
  2. Clear your cookies and browser cache (link opens in new window): Web Browsers - Clear Cache Cookies and Delete History.
  3. If you’ve used the same Internet browser window to log into a personal email account, make sure you have logged out of that account properly before logging into your MS Office 365 account.


Q. My question isn't here / I'm still having technical difficulties.

A. If after reading through the MS Office 365 setup directions and this FAQs page, you are still having problems setting your MS Office 365 password, forwarding your email to MS Office 365 or logging into MS Office 365, contact the Cal Poly Pomona Help Desk.

To contact the Cal Poly Pomona Help Desk, log into Web Help Desk (WHD) and submit a Help Desk ticket (you will need to know your BroncoName and BroncoPassword). If you can't log into WHD, use the eHelp Help Request Form or stop by the Cal Poly Pomona Help Desk with your Bronco Access Card or another photo ID so we can better assist you.
